How to find CAA shadowing opportunities

Check the linked school and CASAA instructions for your application cycle. Requirements can change.

Finding an anesthesia shadowing opportunity can take more effort than completing the visit itself. Start early, use the host's official process and make your request easy to understand.

Your first task is to check which provider roles and settings your target programs accept. Then identify appropriate hosts and track each request so you can follow up without sending repeated messages blindly.

Check what your schools need

Record required or recommended hours, acceptable provider roles, setting, documentation and any stated recency rule. These details determine which opportunities will support your application.

The Medical College of Wisconsin, for example, describes accepted anesthesia-provider roles and requires documentation of exposure. Use the relevant school's instructions for your own list. MCW admissions information.

Do not assume that working near an operating room automatically satisfies a shadowing requirement. The activity and documentation may need to be evaluated separately.

Look for an approved route into the setting

Possible starting points include a program's published shadowing information, a hospital observation office, an anesthesia department's public contact process or an established professional contact who can direct you to the right office.

A provider's willingness to host you may still depend on facility permission. Ask about onboarding, observer eligibility, required documents and scheduling before making travel arrangements.

Keep the request truthful about your educational goal. Clear expectations help the host decide whether the opportunity is appropriate.

Send a concise first message

Here is an original template:

Subject: Anesthesia shadowing inquiry from a prospective AA applicant
Hello [name or office], I am exploring anesthesiologist assistant training and would like to learn about anesthesia care through an approved observation experience. I am available [brief availability] and can complete your observer requirements. Does your department offer a process for prospective students, or is there another office I should contact? Thank you for your time.

If you have a real connection to the host, mention it briefly. Avoid attaching sensitive records before the office asks for them through its approved process.

Track the response and next action

Use a simple outreach log:

Host or office Contact date Response Next step
Hospital observer office Enter date Application required Complete official form
Program contact Enter date Waiting One planned follow-up
Anesthesia group Enter date Not accepting observers Close request

Record restrictions and dates, not just names. A closed request is useful information because it prevents duplicate effort.

If you follow up, keep it brief and respectful. A declined request is a reason to look elsewhere, not to pressure staff or bypass the host's process.

Confirm documentation before the visit

Bring the correct school forms and ask when the supervisor prefers to complete them. Prefill your own details where appropriate. Leave provider attestations and signatures to the person responsible.

Also confirm arrival instructions, clothing, identification and permitted belongings. Ask what you may record in personal notes. Keep patient identifiers out of application logs and reflections.

Reflect and close the loop

After the visit, record actual completed hours, provider role, documentation status and a few observations about teamwork or communication. Send a brief thank-you through the agreed channel.

If a form remains incomplete, create a specific follow-up task. A successful visit and a complete application record are related but separate outcomes.

Use the shadowing log guide to organize your evidence and experience categories to keep totals accurate.

Put this into your plan.

Keep your next steps with the schools and applications they belong to.
